ASSISTANT ADMINISTRATOR

PUSEPA is seeking a highly organized and proactive Assistant Administrator to assist managing daily secretariat office operations.

The successful candidate will be responsible for:

  1. Office Management
    • Assist in overseeing the smooth operation of our secretariat, including asset management.
    • Prepare correspondence, reports and meeting minutes.
    • Manage office supplies and ensure adequate stock levels.
  2. Membership Administration
    • Assist in maintaining accurate digital and physical database of retired civil servants, process membership registration and enquiries.
  3. Financial and Administrative Support
    • Support the preparation of budget and financial reports when required by the Secretary General and Management.
    • Assist in petty cash management.
  4. Communication and Coordination
    • Facilitate communication between departments, staff and stakeholders.
    • Schedule meetings, appointments and events.
    • Assist in organizing meetings, workshops and official functions.
    • And any other duties assigned by Management.

Qualification and Experience

Diploma in Public Administration or Business Administration, Human Resources and any other related field.

Experience

Minimum of 3 years of experience in office administration, ideally within an NGO membership association or public sector environment in Malawi.

Skills

  • Proficiency in Microsoft Office (Excel, Word, Outlook) and database management.
  • Excellent written and verbal communication in both English and Chichewa.
  • High level of integrity, patience and empathy when dealing with elderly persons.
  • Ability to work under minimal supervision even at odd hours.

Personal Attributes

  • The candidate should be between 45 – 65 years of age.
  • Strong organizational and problem-solving abilities.
  • Respectful and professional conduct when dealing with Senior Citizens.
  • Knowledge of Malawi's Public Service Pension framework is an added advantage.
