About this role

Purpose of the Job

To assist in managing and coordinating logistics and distribution functions, ensuring the efficient storage and dispatch of medicines and medical supplies while producing accurate reports to support inventory control, operational efficiency and service delivery.

Duties and Responsibilities

  • Coordinating and monitoring day-to-day logistics operations and distribution activities within the warehouse.
  • Developing, implementing and monitoring distribution plans in collaboration with Pharmacists and Third-Party Logistics (3PL) service providers.
  • Ensuring timely and accurate capture of receipt and delivery transactions in the ERP system and maintaining all related documentation.
  • Receiving, investigating and resolving customer queries and complaints relating to deliveries and distribution.
  • Ensuring that stock transfers and customer deliveries are processed accurately and completed within agreed timelines.
  • Coordinating inter-branch transfers with pharmacists, logistics personnel and other stakeholders.
  • Monitoring customer deliveries, following up on back orders and ensuring order completion.
  • Facilitating delivery debriefing sessions and supporting implementation of corrective actions.
  • Coordinating the collection, verification and filing of Proof of Delivery (POD) documentation.
  • Investigating delivery discrepancies and monitoring implementation of corrective measures.
  • Maintaining effective communication with 3PL providers, health facilities and internal stakeholders.
  • Supporting management and monitoring of 3PL contracts at branch level.
  • Ensuring compliance with Good Distribution Practices (GDP), CMST policies and applicable regulatory requirements.
  • Preparing logistics and operational performance reports to support decision-making.
  • Performing any other logistics and warehouse management duties assigned by management.

Qualifications

  • Diploma in Pharmacy, Supply Chain Management, Logistics or a related field from a recognised institution.
  • Malawi School Certificate of Education (MSCE) or its equivalent.
  • Membership of the Malawi Institute of Procurement and Supply (MIPS) is required.

Experience

  • A minimum of three (3) years’ relevant experience in warehouse, logistics or supply chain operations.
  • Experience in inventory management, distribution planning and transport coordination.
  • Experience in using Enterprise Resource Planning (ERP) or Warehouse Management Systems (WMS).
