VACANCY

Habitat for Humanity Malawi seeks to recruit an Executive Assistant Intern to support in providing administrative, organizational, and coordination support to the National Director. This recruitment forms part of HFHM’s institutional strengthening and strategic realignment process in line with the new Country Strategy (2025–2030). The strategy emphasizes three focus areas:

Job SummaryExecutive Assistant Intern shall be responsible for the provision of professional administrative support to the National Director. The successful candidate shall play a critical role in ensuring the smooth operation of the executive office by managing schedules, coordinating communications, arranging travel, and supporting key organizational priorities.
Reports toNational Director
Main ResponsibilitiesProvide high-level administrative and operational support to the National Director to ensure organizational goals and objectives are achieved efficiently. Manage communication between the National Director and employees, clients, and external stakeholders. Coordinate and prioritize activities to ensure the National Director’s strategic and operational priorities are effectively addressed. Manage the National Director’s calendar, including scheduling meetings, appointments, and key engagements. Manage Board papers for the National Director’s submission to the Trustees. Coordinate domestic and international travel arrangements, including itineraries, logistics, and related administrative requirements. Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion. Serve as the primary point of contact for clients, partners, and other external stakeholders. Manage information flow, correspondence, and communications accurately and efficiently. Screen and direct phone calls, emails, and other communications as appropriate. Facilitate team communication and coordinate internal and external meetings, events, and functions. Maintain strict confidentiality and exercise sound judgment when handling sensitive information and executive matters. Perform any other duties assigned by the National Director or any SMT member.
Education Qualification and ExperienceMinimum qualification: Diploma in Business Management or a related field. Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role. Advanced proficiency in Microsoft Office applications. Excellent organizational, planning, and time management skills. Familiarity with office technology, systems, and business applications. Strong verbal and written communication skills. Demonstrated ability to maintain confidentiality and professionalism at all times.

High level of initiative, discretion, and professionalism. Ability to work independently while supporting ND and the senior leadership effectively.
