Procurement Officer
Location: Lilongwe
Division: Procurement Unit
Reporting to : Senior Procurement Officer

Purpose of the Job

The Procurement Officer will be responsible for facilitating the procurement of goods and services, maintaining efficient inventory management systems, and ensuring the proper storage and issuance of stock in compliance with the Company's procurement policies and procedures.

Key Duties and Responsibilities

The successful candidate will be responsible for:

  1. Receiving, recording, and processing procurement requisitions from user departments.
  2. Preparing and dispatching Requests for Quotations (RFQs) to suppliers.
  3. Maintaining accurate records and minutes of Internal Procurement Committee (IPC) decisions.
  4. Providing timely updates to user departments on the status of procurement requests.
  5. Registering approved procurement requests and forwarding them to the Finance Department for Local Purchase Orders (LPOs) or payment processing.
  6. Coordinating the collection of purchased goods from suppliers and verifying the quality and quantity of deliveries.
  7. Managing inventory by maintaining optimum stock levels while ensuring the safe storage and security of goods.
  8. Filing procurement documentation and preparing periodic procurement and inventory reports.
  9. Ensuring compliance with the Public Procurement and Disposal of Assets Act, company procurement policies, and other applicable regulations.
  10. Performing any other procurement-related duties as may be assigned by the Senior Procurement Officer.

Qualifications, Skills, and Experience

Applicants should possess the following qualifications:

  • Diploma in Procurement, Supply Chain Management, or at least CIPS Level 4 or an equivalent qualification from a recognized institution.
  • A minimum of three (3) years’ practical experience in procurement and stores management.
  • Sound knowledge of procurement procedures, inventory control, and contract administration.
  • Good computer skills, particularly in Microsoft Office applications.
  • Excellent written and verbal communication skills.
  • Ability to prepare accurate procurement reports and maintain proper records.
  • Membership with the Chartered Institute of Procurement and Supply (CIPS) or another relevant professional body will be an added advantage.
