Position Purpose

To support sound financial stewardship and efficient administration by maintaining accurate financial records, supporting budgeting and reporting, strengthening internal controls, coordinating procurement and assets, and providing essential administrative and human resource support.

Key Responsibilities

Financial Management and Reporting

  • Maintain accurate accounting records, supporting documents, cashbooks, ledgers and financial files.
  • Process payments, receipts, advances and liquidations in line with approved procedures and delegated authority.
  • Support preparation of annual and project budgets, cash-flow forecasts and periodic financial reports.
  • Prepare routine bank reconciliations and monitor expenditure against approved budgets.
  • Support preparation of financial information for management, Board, donor, statutory and audit requirements.

Controls, Compliance and Audit

  • Support implementation of MwB financial, procurement and internal control procedures.
  • Maintain complete documentation and appropriate segregation of duties.
  • Support statutory, regulatory and donor compliance and coordinate documentation for audits.
  • Track agreed audit and compliance actions and escalate suspected fraud or control weaknesses.

Procurement, Assets and Administration

  • Support transparent and competitive procurement processes and maintain procurement records.
  • Maintain supplier files, asset registers, inventory records and administrative documentation.
  • Coordinate routine office administration, logistics, supplies and service providers.

Human Resources Administration

  • Maintain confidential personnel records and support recruitment, onboarding, leave and attendance administration.
  • Support consistent application of approved HR procedures and staff administrative requirements.

Qualifications and Experience

  • Bachelor's degree in Accounting, Finance, Business Administration, Commerce or a closely related field; a relevant professional accounting qualification or progress toward one is an advantage.
  • At least two years of relevant experience in finance, accounting and/or administration, preferably in an NGO, development organization or comparable institution.
  • Practical experience in bookkeeping, reconciliations, budget monitoring, procurement and financial documentation.
  • Good proficiency in spreadsheet and accounting applications; experience with digital financial systems is desirable.
  • Knowledge of internal controls, audit requirements and grant or donor compliance is an advantage.
  • Strong written and spoken English; relevant Malawian language skills are desirable.
